How the HBU Dashboard handles public data from Instagram, TikTok and YouTube.
What this is
HBU Dashboard is a private analytics tool used by the small team behind Half Blood University, a Harry Potter creator on Instagram, TikTok and YouTube. It helps the team see how public posts perform and what the audience is talking about.
The dashboard is not a public website. Only a handful of named team members can sign in.
What is collected
The tool reads public information from the three Half Blood University accounts: public posts (captions, posting times, thumbnails and view, like, comment, share and save counts), public comments on those posts (the comment text, its like count and when it was posted) and the public handle and platform id of the person who wrote each comment.
This information comes from the official platform APIs (the YouTube Data API and the Instagram Graph API through a Meta app the team owns) and from public-data providers that read what any logged-out visitor can see. The tool never signs in to the Half Blood University accounts and never collects private messages, email addresses, phone numbers or anything that is not already public.
Nothing is collected about visitors who merely watch the videos. The tool only sees people who left a public comment.
Who can see it
Only team members whose email address is on an allowlist can sign in. Each sign-in uses a one-time code sent by email. Comment text and handles are shown only to those users and are never republished.
How long it is kept
YouTube comment text is refreshed from the API or deleted every 30 days, as the YouTube API Services policies require. Instagram and TikTok comments are kept while the account is tracked. Numeric counts (views, likes, follower totals) are kept as history so the team can see growth over time.
Technical logs of calls to the data providers are kept for 90 days and then deleted.
Automated analysis
From Phase 2 of this project, public comment text and the public handle attached to it are sent to Anthropic (the maker of the Claude models) to sort comments by topic, sentiment and whether they ask a question or request a video. Anthropic processes that text under its commercial API terms and does not use it to train its models. Results are kept as labels attached to the comment inside the dashboard.
If you commented and want your data removed
If you left a public comment on a Half Blood University post and would like it removed from this tool, email the address below with a link to the comment or the handle you use. The team will delete the stored copy of your comments, handle and platform id within 14 days. Deleting the comment on the platform itself also removes it from the tool at the next refresh.
Who runs it
The Meta app used for Instagram data and the Google Cloud project used for YouTube data are owned by the manager of Half Blood University (Google account hooverstuart@gmail.com). The dashboard is hosted on Vercel and its database on Supabase, both in the United States.
